Event finance reporting

Send all of the checks, expense invoices/receipts, and a finance report sheet to the VP of Finance, Mike Owu:

Mike Owu; Treasurer, MIT Club of Boston; c/o MIT Treasurer's Office; 238 Main Street, Suite 200; Cambridge, MA 02142

The finance report sheet can be downloaded from:

If you do not have Microsoft Excel, please use the PDF version of the above file:

Thanking the guests, speakers, hosts, or sponsors

Send a thank you letter to your guest, speaker, or host. One of our future activities may depend on his or her goodwill.

Send a thank you letter to the sponsor of the event, if there was one.

Posting photos from the event

Send a brief report on the event to the newsletter editor with pictures, if possible -- it will be mentioned in the next newsletter as space permits.

You may also want to post photos in the club's photo gallery, located at: http://bostonclub.mit.edu/gallery/

If you don't have an account to post photos, you may request one by emailing Henry Houh at This e-mail address is being protected from spambots. You need JavaScript enabled to view it .

Once you have an account, go the photo album and log in. Click through to the album that you want to create a new album or add photos to. Make sure that you are in the right album if you are adding photos.

If you are creating a new album, select "New Nested Album" inside the album in which you want to add a new album. To add photos, click on that album (the new album or an album to add photos to) and select "Add Photos". A java applet will load and a window will pop up asking you if you want to continue (for security) - select OK. You should be able to drag and drop into the java applet window to add photos.

Once you have created the photo album, please let Henry know, and he will link it to the event. You can change the "Title" of the album, but please don't change its name (the one that is "album102" or something like that).

Cleaning up after the event

Make sure the place is clean once all the guests have left.

If your event is in the Bush Room, it must be returned to a certain state afterwards. The layout is posted on the wall by the door. The garbage must be taken out and left outside of the door.
